6.1 Open the title workdesk.

6.1.1 The title number will appear at the bottom right hand side of the application workdesk screen. Highlight this by clicking on it.

6.1.2 Click "Amend" key. You are now in the title workdesk.

6.2 Enter the search sheet number(s) in the search sheet field, click "apply" to confirm and "yes" to save.

3. Whole subjects or part of the subjects on more than one search sheet are disponed, assigned or leased.
All search sheet numbers should be added, if possible. However, this field has a limit of 30 characters. If it is not possible to add all the numbers, add the first number preceded by "inter alia". To view the other search sheets in the example below, the searcher must look at search sheet 87651 where the other search sheets will be listed.

6.3 Check the ‘Heritable Securities’ section of the application form for the DIR to determine whether a search for heritable securities requires to be carried out at legal settle. Please note, whether a search is required will depend on the heritable securities question asked on the application form as well as the answer given.

6.4 If the heritable securities question is ‘Is the plot of ground affected by any outstanding heritable security?’, a 40 year search of the Register of Sasines is not required at legal settle whether the question has been answered Yes or No. However, a search of the ‘gap period’ is required – please see steps 6.4.1 and 6.4.2 below.

6.4.1 Examine the search sheet and the presentment book (via a places search on CSR) and identify if any deed (with the exception of advance notices) has been presented or recorded in the  ‘gap period’ (being the period between the completion of the form and the date of registration of the application).  As a date is no longer provided in terms of the Sasines search, the ‘gap period’ should be taken as the date of the ROI search certified on the form (this was typically the date any search of Sasines was certified to when a heritable securities search date was provided) to the date of registration of the application.

6.4.2 If any deeds have been recorded in the ‘gap period’ add the following note using LRS autotext: “[Deed type] recorded [date] on [CSS number]”, and repeat for each applicable deed.

6.5 If the heritable securities question is ‘Has a search been carried out in the G.R.S. to determine if there are any outstanding heritable securities affecting the plot of land?’, and is answered No, a 40 year search of the Register of Sasines is required at legal settle.

6.5.1 If a 40 year search is required at legal settle, the following note should be added to the Application Workdesk to highlight this. "No search completed. Examine [search sheet number(s)]". This note can be found on the LRS autotext by right clicking inside the blank note on LRS.

Click on the "Application N & I" tab.

Click "Add".

Right click inside the blank note to bring up a picklist, and select the relevant note. 

Add the relevant information to the note.

Click "OK".

6.5.2 If the heritable securities question is ‘Has a search been carried out in the G.R.S. to determine if there are any outstanding heritable securities affecting the plot of land?’, and is answered Yes and a date to which the last search was certified is given, examine the search sheet and the presentment book (via a places search on CSR) and identify if any deed (with the exception of advance notices) has been presented or recorded between the search date certified on the application form and the date of registration of the application. 

6.5.3 If any deeds have been recorded between the search date on the application form and the registration date, add the following note, using LRS autotext: "[Deed type] recorded [date] on [CSS number]", and repeat for each applicable deed.
