Cancelling a Registered Title Sheet

There will be instances when a registered title sheet requires to be cancelled. However, a title sheet with a status of RG cannot be cancelled on the LRS. If a registered title requires to be cancelled, the process steps below should be followed:

1.1 Take on the RR application.

1.1.1 Add LRS Application Note:

             "RR created to cancel this title [add reason]".

If the cancelled title relates to a shared plot title sheet, and where the whole shared plot title sheet requires to be cancelled, then the relationship between the shared and sharing plot will need to be removed prior to cancelling the title. 

Two RR applications will be required, one against the shared plot and one against the sharing plot title sheets. Once created, IT should be contacted with a request to remove the relationship between the two plots prior to the applications being passed to plans for the cancellation of the shared plot title cadastral unit.

1.2 If the original application was an FR or had an FR element update CSR.

1.3 If no amendment to the mapping of the title has been done via the application being used to cancel the registered title (check the version history in PV), there is no need to refer the case to plans. Closing the title in LRS will automatically change the status of the title in PV. However if a change to the mapping has been done using the application number, refer to plans settle as the title will need to be unapproved and the DCU deleted so that it reverts to the registered extent prior to the closure/cancellation of the registered title.

1.4 On receipt of the application from plans, open the application.

1.5 Open the title work desk.

       1.5.1 Clear all details from the A, B, C and D sections.

       1.5.2 In the subject field within the A section, add reason for title sheet being cancelled.

       1.5.3 Save the changes.

       1.5.4 Select the Edit button at the top of the screen and select Close/cancel - the Title Close/Cancel box will appear.

             1.5.4.1 Select the Close button.

             1.5.4.2 Add the date of closure (the date title is being closed).

             1.5.4.3 Confirm application.

     1.5.4.4 Select OK and release to Despatch complete.

1.6 Complete the application at Despatch.

1.7 Contact IT and request the title status be amended from CL to XX.

1.8 Add any correspondence or referral material to the business record for the RR application by way of an L202 form. 

1.9 After completing the cancellation the following information should be emailed to Post Reg Enquiries in order for them to capture the amendments to a registered title:

        (i) Title number of the cancelled title sheet.

        (ii) Application number of RR(s).

        (iii) Subjects.

        (iv) Nature of enquiry – for example: 'registered title sheet cancelled as void deed given effect to'.
