1.3 House/Building Name Field
This field is used to include more information than just the name of houses.
- Names of houses - Weavers Cottage, Drummond House (house names should always be indexed and should never be added as a note)
- Organisations - Mount Logan Hotel (hotel & other organisation names are often found in the organisation field of the gazetteer, however the LRS does not contain this field. If the property is only known as the organisation name with no house name or house number, then the organisation should be manually added to the house/building name field on the LRS)
- Names of Farms - Westwood Farm (farm names often found in the organisation field of the gazetteer, however the LRS does not contain this field. If the property is only known as the organisation name with no house name or house number, then the organisation should be manually added to the house/building name field on the LRS)
- Names of crofts - Hollands Croft
- Names of estates - Auchendreigh Estate
- Alphanumerics - 7E
- Numeric building name - 20-28 (not to be confused with Section 1.10 Multiple Properties)
- Building plots - see Section 1.4 Plot Numbers
If an entry in the gazetteer does not quite fit the example given below (for instance, Example 1.3.6 is in the gazetteer as "13"Â in Sub Building field & "Campbells Buildings" in Name field), please accept the gazetteer entry.
Apostrophes
In general, apostrophes are inconsistently used. The gazetteer entry should be accepted, or in the absence of a gazetteer entry, reference to the Royal Mail's gazetteer is advisable.
House names and numbers
- If the deeds and the gazetteer both have only the house/building name, accept the gazetteer address.
- If the deeds have both a house/building name and a postal number but the gazetteer has only a postal number, add the house/building name to the field in the gazetteer address. In other words, the address will contain both the house/building name and the postal number.
- If the deeds have only a house/building name but the gazetteer has only a postal number, accept the gazetteer address and add the house/building name to the field in the gazetteer address. In other words, the address will contain both the house/building name and the postal number.
Hints & Tips
- If a building or house name includes the word "The", this should be retained in the indexing.
- What appears to be a street name may be indexed in the house name if it is just part of a street or is the name of a block of flats or group of cottages within a street (for example, 3 James Court, Willoughby Street, Moffat).
- To get a match in the gazetteer, it may be necessary to split or combine parts of the house name (for example, Learig may be found as Lea Rig, and White Side may be found as Whiteside).
- To get a match in the gazetteer, it may be necessary to add or omit "House" or "Cottage" from the house name (for example, Ridgewood Cottage may be found as Ridgewood, and Whiteside may be found as Whiteside House. Please be cautious though as there may be both a Whiteside House & a Whiteside Cottage).
- At DW settle stage, if a change to the entry in the house name field has been identified (for example, a plot number now has a postal address, or a house has changed name), the property section and indexing should be amended using the gazetteer.
