Take On and Ident Application - TP Plans - Manual PI

Process Steps

Additional Information

Take on application(s) on LRS

1.1 Open the LRS and select the relevant county using the PLANS MANUAL PI function.

1.2 Take on all applications. The application(s) are automatically added to user's /wiki/spaces/2ARM/pages/64455073.

Examine TP manual PI spreadsheet

1.3 Open the TP manual PI spreadsheet in the TP Support folder in the shared drive. The spreadsheet contains details relating to developments only.

1.4 Select appropriate county worksheet and search for PT number(s).

1.5 If an entry for the PT number(s) is included in the spreadsheet consider the details in the entry and:

1.5.1 Determine the appropriate category and note this on the flysheet

1.5.2 Determine the appropriate route card (this can be determined from the comments column within the spreadsheet which gives details of where development TP(s) should be atlocated to).

1.6 If no entry exists in the spreadsheet for the PT number(s) examine the deed plan and OS details on the DMS.

1.6.1 If there is no detail on the DMS complete an index layer search to determine if there is Development Plan Approval (DPA).

    • If there is DPA, pass to DPA team.

1.6.2 If there is no DPA then, on completion of all checks, refer for possible rejection - rejection reasons.

1.7 Consider if this is a new development which will comprise 10 or more properties. Points to consider are as follows:

1.7.1 Is this the first TP from the development?

    • Check the surrounding detail on the plan to the deed inducing registration (DIR). If this indicates the development will consist of more than 10 properties the TP will be categorised X1 or
    • View the plan to the deed of conditions via BOPS. If this indicates the development will consist of more than 10 properties the TP will be categorised X1

1.7.2 Is this the first TP from a new phase of the development?

    • The TP manual PI spreadsheet details the deeds of conditions affecting a development. If the deed of conditions in the DIR differs from those on the spreadsheet this indicates that there is a further phase. The TP should be categorised X1.
    • If the development consists of various tints and this is the first TP affecting one of those tints - refer to Plans RO2 for guidance.

If there is any doubt, refer to Plans RO2.

1.8 Add an entry to the spreadsheet: an entry should only be added for a development title of ten or more TPs which will be completed under instruction.

1.9 Determine the appropriate category and note this on the flysheet.

1.10 Determine the appropriate destination route card.

1.10.1 If the TP will not be completed under instruction the deed type under examination must be considered and a search of the LRS must be completed to determine the appropriate category and destination route card.

Search LRS (non-instructional TP's only)

1.11 In the LRS casework desk, click on Tools and from the dropdown menus select Search and Title.

1.12 In the title field, enter the PT number and click on Search.

1.13 Arrange the applications in date order and identify any pending applications.

1.14 Consider any pending applications and the deed type under examination and determine the appropriate category and note this on the flysheet

1.14.1 Determine the appropriate destination route card.

1.14.2 Applications must be completed in date order and bundled together, so it is important to ensure that the correct route card is identified.

1.15 If the PT application is a pending FR, a Stop at despatch flag must be added.

1.15.1 Take a note of the PT application number(s).

  • If the prior applications are all attached on the LRS then only the lead application requires a Stop at despatch flag.

Attached applications can be identified by viewing the Attachd/Rel (Opn) Apps tab on the application work desk for the lead application. If the Rel column denotes an "A", subsequent applications are attached to the main application. If however the Rel column denotes "U" or "Um", applications are not attached.

1.15.2 In the LRS Case Work Desk, select Bulk Ad Hoc from the dropdown list.

1.15.3 Tick the Add Note field.

1.15.4 Select I from the Type dropdown list.

1.15.5 Select Despatch Complete from the For dropdown list.

1.15.6 Right click in the Note field and select Stop at Despatch note.

1.15.7 Tick the Stop at Despatch field.

1.15.8 Enter the PT application number(s) in the Applications field.
