Create New Batch/Retrieve Existing Batch - eFin

Process Steps

 Additional Information

The payment arrangements must be deemed as acceptable as part of the FR TP or DW initial examination checks before processing the applications through eFinancials. Where the payment arrangements are unacceptable, the application should be rejected for failing to comply with section 22(1)(e) of the 2012 Act.

Batch creation

In order to process applications through eFinancials, a batch must first be created using the following steps:

2.1 On the main menu screen of eFinancials expand the Batch Creation and Posting menu and click Cash On Account

2.2 This will open the Cash on Account screen

2.3 Only three fields need to be completed at this stage. The remaining fields can be tabbed past.

  • Name (Enter User ID and the date e.g. AB1 14/07/05)
  • Sub Ledger (SL2 should always be entered)
  • Total (Enter 0)

2.4 Click the Details button to enter the batch

2.4.1 Take a note of the batch number. This is used in the batch posting process and can be used to retrieve a batch, if necessary.

Retrieve existing batch

In the event that eFinancials is closed before the existing batch has been posted the batch can be retrieved and continue to be used using the following process:

2.6 On the main menu screen of eFinancials expand the Batch Creation and Posting menu and click Cash On Account.

2.7 Click on the binoculars icon (no green tick) at the top of the screen.

2.8 Complete the Batch number field with the batch number noted during the batch creation process.

2.8.1 If the batch number was not noted then complete the Name field instead with the user ID and date used in the batch creation process.

2.9 Click on the binoculars icon with the green tick to access the batch. The batch can now be used as normal.

2.9.1 If using the name search the batches will be listed and the correct batch should be identified and used as normal.
