7.1 If your shared plot application is a TS application, proceed to step 7.3.

7.2 If your shared plot application is an AS application, proceed to step 7.13.




TS Application - Add information to the LRS for the shared plot cadastral unit


7.3 Open the shared plot application on the LRS.

7.3.1 Open property section workdesk.


7.4 Complete the property section header information for the shared plot cadastral unit.

7.4.1 Select from the picklist to add the type of real right being registered to the Real Right field.

7.4.2 Add the hectarage of the shared plot cadastral unit to the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.


Do not enter anything in the Map Ref field in the property section workdesk.


7.5 Check that the property description of the shared plot cadastral unit is correct, and amend if necessary.

7.5.1 The prefix should always contain the word "Subjects" and the number of the cadastral unit.

7.5.2 Check that the address details are correct, and amend if necessary:

    • A shared plot will not normally have a unique postal address with postcode.  Instead, the plot should be described in the same way as any other plot of ground with no postal address.  For example, "...being the common amenity ground on the north side of CARSON DRIVE, DALKEITH".
    • An exception to this rule is when the shared plot is shared between two identifiable sharing plots whose postal addresses are known. See Sample Property Section Styles - Shared Plots for examples.

7.5.3 Add the suffix information to the property description:

    • Whenever possible, use the picklist entries available to ensure consistency
    • The hectarage of the shared plot, if it is 0.5 hectares or greater than 0.5 hectares, is to be rounded up or down to two decimal places.

7.6 Add any property section notes that are required.

7.6.1 Add a property section note if the shared plot cadastral unit is affected by a railway boundary.


7.7 Close property section workdesk and open title workdesk.

 Title notes & plan notes

There are two types of note that can be added in the title workdesk - title notes and plan notes. In almost all instances, the notes from plans to legal should be entered as title notes. The reason for this is that a plan note will automatically be copied through and added to the DMS casenotes. Using a plan note when it is not necessary leads to cluttered DMS casenotes that contain information that is not required for interpreting the cadastral map


7.7.1 Add all necessary title notes - see Further Guidance on Completing the LRS Title Notes.

    • Use templates if they are available,
    • complete all relevant fields in a template,
    • for any fields that do not affect the plot being registered, either delete that field or add NIL.

7.7.2 Complete the TP Plans Remarks to Legal template.

7.7.3 If the removal of the shared plot cadastral unit has been mapped using the green-out style, ensure you complete a Parent Title Green Outs Note.

7.7.4 Complete the Deed Plan References template if plans references other than the extent of the shared plot TP cadastral unit have been added to the cadastral map.

  • Use a separate title note for each deed that has supplied plans references.

7.7.5 Complete a Sharing Plot note.

7.7.6 If a right, burden or servitude cannot be mapped but is to be included in the title sheet (see Plans References for Rights, Burdens and Servitudes), add a note to advise the legal settler of this.

7.7.7 Add any other relevant information to the title notes.


7.8 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.



TU or DW Application - Update information in the LRS for the parent title


7.9 Check the property description of the parent title includes the cadastral unit number.

  • If the property description does not include the cadastral unit number, update the property description of the parent title to convert it to the style used in 2012 Act applications.

7.10 If a positive mapping style of removal has been used, make any changes that are required to the hectarage shown in the property section of the parent title.  The hectarage should be included if the parent title measures 0.5 hectares or greater than 0.5 hectares -

  • rounding the number up or down to one decimal place for use in the property section header information, and 
  • rounding the number up or down to two decimal places for use in the property description suffix.


7.11 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.


7.12 Proceed to the next process - Complete the Case



AS Application - Add information to the LRS for the shared plot cadastral unit


7.13 Open the shared plot application on the LRS.

7.13.1 Open property section workdesk.


7.14 Check the property section header information for the shared plot cadastral unit.

7.14.1 Check the Real Right field correctly shows type of real right being registered.

7.14.2 Check the hectarage of the shared plot has been correctly entered in the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.


Do not enter anything in the Map Ref field in the property section workdesk.


7.15 Check the property description of the shared plot cadastral unit in the property section is correct, and amend if necessary.
