AS Application - Add information to the LRS for the shared plot cadastral unit


7.1 Open the shared plot application on the LRS.

7.1.1 Open property section workdesk.


7.2 Check the property section header information for the shared plot cadastral unit, and amend if necessary.

7.2.1 Check the Real Right field correctly shows the type of real right being registered.

7.2.2 Check the hectarage of the shared plot has been correctly entered in the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.


Do not enter anything in the Map Ref field in the property section workdesk.


7.3 Check the property description of the shared plot cadastral unit in the property section is correct, and amend if necessary.

    • A shared plot will not normally have a unique postal address with postcode.  Instead, the plot should be described in the same way as any other plot of ground with no postal address.  For example, "...being the common amenity area on the north side of CARSON DRIVE, DALKEITH".
    • An exception to this rule is when the shared plot is shared between two identifiable sharing plots whose postal addresses are known. See Sample Property Section Styles - Shared Plots for examples.
    • The prefix should always contain the word "Subjects" and the number of the cadastral unit.


7.4 Close property section workdesk and open title workdesk.


 Title notes & plan notes

There are two types of note that can be added in the title workdesk - title notes and plan notes. In almost all instances, the notes from plans to legal should be entered as title notes. The reason for this is that a plan note will automatically be copied through and added to the DMS casenotes. Using a plan note when it is not necessary leads to cluttered DMS casenotes that contain information that is not required for interpreting the cadastral map


7.4.1 Add all necessary title notes - see Further Guidance on Completing the LRS Title Notes.

    • Use templates if they are available,
    • complete all relevant fields in a template,
    • for any fields that do not affect the plot being registered, either delete that field or add NIL.

7.4.2 Complete the TP Plans Remarks to Legal template.

7.4.3 Complete the Deed Plan References template if plans references other than the extent of the external shared plot cadastral unit have been added to the cadastral map.

    • Use a separate title note for each deed that has supplied plans references.

7.4.4 Add a Sharing Plot note.

7.4.5 Add any other relevant information to the title notes.


7.5 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.
