Map the tenement steading in the TP application for the flat - the TP application is the sharing plot application


4.1 Map the extent of the tenement steading in the TP application as described in the parent title mapping instructions; this will be co-extensive with the tenement steading cadastral unit in the parent title.

4.1.1 All mapping should take account the tolerances of the OS map scale.

4.1.2 The tenement steading extent will normally be mapped with a red edge on the cadastral map, although tinting can be used if the parent title mapping instructions say to use that method.

4.1.3 If any references are to be brought forward from the parent title, incorporate these into the mapping of the tenement steading in the TP.

4.1.4 Follow any parent title instructions on assigning existing supplementary plans.

4.1.5 Ensure that all mapping in the TP cadastral unit is Vector Perfect.

4.1.6 If there are any mapping queries, refer to a referral officer.

4.2 Check the hectarage of the tenement steading using the/wiki/spaces/2ARM/pages/65831239, and take a note if it measures 0.5 hectares or greater than 0.5 hectares.


4.3 Check the deed for extent for any railway boundaries that affect the tenement steading, and provide a reference for them on the cadastral map.


4.4 Only those plans references affecting the whole tenement rather than an individual flat or unit are shown on the cadastral map.

4.4.1 Check the DIR and the deed for extent for rights, burdens and servitude rights affecting the whole tenement that are fully described within those deeds - if you think a new right or burden affecting the whole tenement is being created, refer to a referral officer for consideration.

4.6 If there are no plans references to be provided for the extent of the flat, for any exclusive areas, common areas, or rights pertaining to the flat, proceed straight to step 4.13.



Map the supplementary data


4.7 If there are plans references to be provided for the extent of the flat, for any exclusive areas, common areas, or rights pertaining to the flat that lie within the tenement steading cadastral unit, map these in the SPL index entry you have already created at step 3.4.4 to contain the supplementary data to the title sheet.

4.7.1 The plans references to be included in the supplementary data should be taken from the DIR and the deed for extent.

4.7.2 Take into account the tolerances of the OS map scale.

4.7.3 Check Part B of the Application for Registration form to see if the question "If the extent of the plot has been delineated on the cadastral map as part of an advance notice please provide the advance notice number" has been answered. If an advance notice was submitted for the deed being registered, the extent of the advance notice on the Index Map may be used to help the mapping process.

4.7.4 If the subjects are affected by Development Plan Approval (DPA) the plotted detail shown on the DPA index layer may be used to help the mapping process provided it agrees with the extents shown in the deed for extent.

4.7.5 The plans references to be included in the supplementary data should be mapped using the tinting method.

4.7.6 Ensure that all mapping in the cadastral unit is Vector Perfect.

4.8 Check the DIR and the deed for extent for rights, burdens and servitudes affecting the flat and its pertinents that are defined on the deed plan.

4.8.1 Incorporate any such plans references into the mapping of the supplementary data, taking into account the tolerances of the OS map scale.

4.8.2 If a right, burden or servitude cannot be mapped but is to be included in the title sheet (see Plans References for Rights, Burdens and Servitudes), take a note of this.


4.9 Complete the case notes for the supplementary data using the /wiki/spaces/2ARM/pages/63832250 option in the /wiki/spaces/2ARM/pages/62292068.

4.9.2 Add the postal address or a clear description of the flat or unit being registered.

4.9.3 Add any other relevant information to the case notes - see Further Guidance on Completing the Plans Casenotes


4.10 /wiki/spaces/2ARM/pages/64455077 the SPL index entry being used to show the supplementary data to the title sheet.


4.11 Assign the SPL index entry to the TP application for the flat.

4.11.1 Re-open the TP application on the DMS using the /wiki/spaces/2ARM/pages/64455073.

4.11.2 /wiki/spaces/2ARM/pages/63832373 using the option in the /wiki/spaces/2ARM/pages/62292135.

Map the parent title cadastral unit


  • The parent title has already been set up as the tenement steading cadastral unit and title sheet for the tenement (under exception of any flats or units previously transferred out and registered).  No plans references are required in the parent title for the removal of the flats, common areas or exclusive areas.  Therefore, there will be no requirement to amend the mapping of the parent title when removing the flat being registered. Only the casenotes on the DMS/L53 for the parent title held in the shared drive need to be amended, and title notes added to the LRS giving the legal settler information on the actions taken.


4.13 Open the parent title on the DMS using the /wiki/spaces/2ARM/pages/64455073.


4.14 Update either (i) the DMS case notes using /wiki/spaces/2ARM/pages/62685218 in the /wiki/spaces/2ARM/pages/62292068, or (ii) the L53 held in the shared drive, for the parent title  cadastral unit.

  • Incorporate any new or amended plans references.
  • Create or add to the list of flats that have been removed from the parent title.


4.15 Do your final checks.

  • Ensure the /wiki/spaces/2ARM/pages/65831224 corresponding to the /wiki/spaces/2ARM/pages/64455329 has been selected before closing & authorising.
    • If essential title detail is not visible when the print scale is set to the corresponding OS base scale, consideration may be given to setting the print scale to a larger scale. A title note must be added to the LRS recording the decision.
  • Do an at a glance shape check.
  • Ensure that all mapping in the parent title cadastral unit is Vector Perfect.

  • although title plans are no longer created and issued by RoS for cases received under the 2012 Act (instead they are replaced by an extract or plan copy of part of the cadastral map), you should use the Title Plan setting on the DMS to print out the cadastral unit for the legal settler.
  • if there are further TPs being settled at the same time, do not print out the parent title cadastral unit until all the TPs are mapped & referenced on it.
  • Many large titles do not transfer over well to ScotLIS due to the number of print pages involved; the multi-part plan option should be used to reduce the number of pages. Although there are several reasons that sometimes lead to a failure to transfer a plan over, as a rule of thumb, where the print exceeds 72 pages, it is likely it will not transfer over correctly.
  • If supplementary plans have been previously assigned to the parent title, use the /wiki/spaces/2ARM/pages/62685229 option in the /wiki/spaces/2ARM/pages/62292131 to batch print both the cadastral unit and the supplementary plan(s).



Complete the mapping of the TP application for the flat (the sharing plot)


4.18 Re-open the TP for the flat (the sharing plot) on the DMS using the /wiki/spaces/2ARM/pages/64455073.


4.19 Check for any map updates that have been imported since the TP was mapped:

  • this is particularly important if the TP & parent title cadastral units are not being mapped & authorised on the same day.


4.20 Complete the DMS case notes & tenure using /wiki/spaces/2ARM/pages/62685218 in the /wiki/spaces/2ARM/pages/62292068.

The code to be entered for 2012 Act titles will be a 2-part code, taking the format "code1code2"

Ownership of a plot of ground (with or without a building) will use code OL

Tenancy of a plot of ground (with or without a building) will use code TL

Ownership of the salmon fishing rights in a plot will use code OF

4.20.2 Add the postal address or clear description of the property contained in the TP.

4.20.3 Add any other relevant information to the case notes - see Further Guidance on Completing the Plans Casenotes.

4.20.4 If supplementary data to the title sheet is being shown on a plan, make sure you add a case note referring the viewer to the SPL index entry containing the supplementary data.

4.20.5 Ensure you add a note of the cadastral unit number(s) of the shared plot title sheet(s) to the case notes with a description of the common ownership.

    • for example "With a 1/30 pro indiviso share in the common amenity area in shared plot cadastral unit ELN78575"


4.21 Do your final checks.

  • Ensure the /wiki/spaces/2ARM/pages/65831224 corresponding to the /wiki/spaces/2ARM/pages/64455329 has been selected before closing & authorising.
