Additional Information
11.1 If your shared plot application is a TS application, proceed to step 11.3.
11.2 If your shared plot application is an AS application, proceed to step 11.28.
TS Application - Map the external shared plot cadastral unit
11.3 Open the shared plot application on the DMS using the case take-on button.
11.4 Set the seed point, or check the seed point for the shared plot cadastral unit is correctly positioned, & re-position if necessary using the set seed button.
11.4.1 Ident can be completed using the sharing plot title number and the seed point can then be relocated to the position of the shared plot.
11.5 Map the external shared plot cadastral unit, referring to the deed for extent, and taking into account the tolerances of the OS map scale.
11.5.1 If the subjects are affected by Development Plan Approval (DPA), the plotted detail shown on the DPA index layer may be used to help the mapping process provided it agrees with the extents shown in the deed for extent.
11.5.2 Where the external shared plot cadastral unit requires only a single plans reference, map with a red edge.
11.5.3 Where the external shared plot cadastral unit requires more than one plans reference, consider mapping using the tinting method.
11.5.4 If any references are to be brought forward from the parent title, incorporate these into the mapping of the external shared plot cadastral unit.
11.5.5 Ensure that all mapping in the external shared plot cadastral unit is Vector Perfect.
11.6 Check the DIR and the deed for extent for rights, burdens and servitude rights that are fully described within those deeds.
11.6.1 Incorporate any necessary plans references for such rights, burdens and servitudes into the mapping of the external shared plot cadastral unit.
11.6.2 If a right, burden or servitude cannot be mapped but is to be included in the title sheet (see Plans References for Rights, Burdens and Servitudes), take a note of this.
11.6.3 Provide a plans reference for any rights or burdens relating to a particular boundary feature.
11.6.4 If a previously registered servitude exists that affects the external shared plot cadastral unit, check that this is co-extensive with the reciprocal servitude referred to in the deeds within your application.
- If the existing registered servitude is co-extensive with one that is being mapped as part of the current application, no additional mapping is required.
- If the existing registered servitude is not co-extensive with one that is being mapped as part of the current application, refer the application to a referral officer for consideration.
- If the existing registered servitude is not referred to in the current application, refer the application to a referral officer for consideration.
11.7 Copy to the Clipboard any extents or plans references that will also need to be shown on the parent title.
11.8 Check the hectarage of the external shared plot cadastral unit using the drawing tool measurements box, and take a note if it measures 0.5 hectares or greater than 0.5 hectares.
11.9 Close the shared plot application on the DMS.
TS Application - Map the parent title cadastral unit
11.10 Open the parent title on the DMS using the case take-on button.
11.11 From the Clipboard, paste in any extents that are being copied from the shared plot application.
11.12 Decide the most appropriate method for referencing the removal of the external shared plot cadastral unit:
- Positive mapping style where the extent of the parent title cadastral unit is restricted to remove the extent of the shared plot cadastral unit - proceed to step 11.13.
- Green-out mapping style where the extent of the parent title cadastral unit remains the same and the extent of the shared plot cadastral unit is referenced by edging & numbering in green - proceed to step 11.14.
11.13 If a positive mapping style is being used, amend the mapping of the parent title cadastral unit to exclude the extent of the shared plot cadastral unit.
11.13.1 Incorporate any other references from the shared plot application into the mapping of the parent title cadastral unit, and take a note of the references used for these.
11.13.2 Ensure that all mapping in the parent title cadastral unit is Vector Perfect.
11.13.3 Check the hectarage of the new extent of the parent title cadastral unit using the drawing tool measurements box, and take a note if it measures 0.5 hectares or greater than 0.5 hectares.
- If the parent title cadastral unit was previously 0.5 hectares or greater than 0.5 hectares, and has now been reduced in area to less than 0.5 hectares, take a note to remind yourself to have the hectarage removed from the property section of the title sheet.
11.13.4 Update either (i) the DMS case notes using Maintain Title Details in the Syntegra forms, or (ii) the L53 held in the shared drive, for the parent title cadastral unit.
- Update the casenotes to incorporate any new or amended plans references;
- change the tenure to the correct 2012 Act code (for example, OL for ownership of land); and
- update the hectarage (if necessary).
11.13.5 Proceed to step 11.15.
11.14 If the green-out mapping style is being used, the extent of the external shared plot cadastral unit should be edged and numbered in green on the parent title cadastral unit.
11.14.1 Check either (i) the DMS case notes using Maintain Title Details in the Syntegra forms, or (ii) the L53 held in the shared drive, for the parent title cadastral unit, and allocate the next removal number to the green-out for the shared plot cadastral unit.
11.14.2 Incorporate any other references from the shared plot application into the mapping of the parent title cadastral unit, and take a note of the references used for these.
11.14.3 Update either (i) the DMS case notes using Maintain Title Details in the Syntegra forms, or (ii) the L53 held in the shared drive, for the parent title cadastral unit to show the next removal number to be used.
11.14.4 Update the DMS case notes using Maintain Title Details in the Syntegra forms for the parent title cadastral unit to incorporate any new or amended plans references.
1.14.5 Check, and update if necessary, the tenure in the DMS case notes to the correct 2012 Act code (for example, OL for ownership of land).
11.14.6 Ensure that all mapping in the parent title cadastral unit is Vector Perfect.
11.15 Copy to the Clipboard any references from the parent title that are also required to be shown on the external shared plot cadastral unit.
11.16 Do your final checks.
- Ensure the print scale corresponding to the OS base map scale has been selected before closing & authorising.
- If essential title detail is not visible when the print scale is set to the corresponding OS base scale, consideration may be given to setting the print scale to a larger scale. A title note should be added to the LRS recording the decision.
- Do an at a glance shape check.
- Ensure that all mapping in the parent title cadastral unit is Vector Perfect.
11.17 Close and authorise the parent title cadastral unit on the DMS.
11.18 View the parent title cadastral unit on the DMS and print off a plan showing the full extent of the cadastral unit for the legal settler.
- although title plans are no longer created and issued by RoS for cases received under the 2012 Act (instead they are replaced by an extract or plan copy of part of the cadastral map), you should use the Title Plan setting on the DMS to print out the cadastral unit for the legal settler.
- If supplementary plans have been previously assigned to the parent title, use the Select title version to print option in the Syntegra Title Admin menu to batch print both the cadastral unit and the supplementary plan(s).
11.19 Complete:
- Transfer list
- Manual PI spreadsheet
- First removal spreadsheet.
TS Application - Complete the mapping of the shared plot cadastral unit
11.20 Re-open the shared plot application on the DMS using the case take-on button.
11.21 From the Clipboard, paste in any extents that are being copied from the parent title.
11.21.1 Incorporate the references from the parent title into the mapping of the external shared plot cadastral unit, and take a note of the references used for these.
11.21.2 Always ensure that any tints or other references pasted onto the cadastral map do not obscure or conflict with references that are already shown.
11.22 Check for any map updates that have been imported since the shared plot cadastral unit was mapped:
- this is particularly important if the TS & parent title cadastral units are not being mapped & authorised on the same day.
11.23 Complete the DMS case notes & tenure using Maintain Title Details in the Syntegra forms.
11.23.1 Add tenure details.

The code to be entered for 2012 Act titles will be a 2-part code, taking the format "code1code2"

Ownership of a plot of ground (with or without a building) will use code OL
Tenancy of a plot of ground (with or without a building) will use code TL
Ownership of the salmon fishing rights in a plot will use code OF
11.23.2 Add the postal address or clear description of the land contained in the cadastral unit.
11.23.3 Add any other relevant information to the case notes - see Further Guidance on Completing the Plans Casenotes.
11.23.4 Ensure you add a note of the cadastral unit number of the sharing plot title sheet to the case notes with a note of the quantum of the share.
- For example "Sharing plot ELN78540 - 1/30 share"
- Once more than one share is registered, this can take the form of a list.
11.23.5 Add the quantum of the share remaining in the ownership of the owner(s) of the parent title after the removal of the current TS application.
- For example "Sharing plot ELN77500 (parent title) - 29/30 share remaining"
11.24 Do your final checks.
- Ensure the print scale corresponding to the OS base map scale has been selected before closing & authorising.
- If essential title detail is not visible when the print scale is set to the corresponding OS base scale, consideration may be given to setting the print scale to a larger scale. A title note should be added to the LRS recording the decision.
- Do an at a glance shape check.
- Ensure that all mapping in the shared plot cadastral unit is Vector Perfect.
11.25 Close and authorise the shared plot application on the DMS.
11.26 View the external shared plot cadastral unit on the DMS and print off a plan showing the full extent of the cadastral unit for the legal settler.
- although title plans are no longer created and issued by RoS for cases received under the 2012 Act (instead they are replaced by an extract or plan copy of part of the cadastral map), you should use the Title Plan setting on the DMS to print out the cadastral unit for the legal settler.
11.27 Proceed to next process - Add LRS Information - TP Plans - Tenement First Removal - External Shared Plots
AS Application - Update the shared plot cadastral unit details on the DMS
11.28 Open the shared plot application on the DMS using the case take-on button.
- An AS shared plot application will show on the DMS as a DW application type - please ensure you check the title number of the DW you are opening before proceeding.
11.29 Check the seed point for the shared plot cadastral unit is correctly positioned, & re-position if necessary using the set seed button.
11.30 Check of the accuracy of the mapping of the shared plot cadastral unit.
- Ensure that all mapping in the TP cadastral unit is Vector Perfect.
11.31 Check the hectarage of the shared plot cadastral unit using the drawing tool measurements box, and take a note if it measures 0.5 hectares or greater than 0.5 hectares.
11.32 If the DIR or deed for extent contain any rights, burdens and servitude rights that require additional references, or if any other amendments are required to the cadastral map for the shared plot, consider the effect on the other registered sharing plots.
11.33 Update the DMS case notes & tenure using Maintain Title Details in the Syntegra forms.
11.33.1 Check tenure details, and update if necessary.

11.33.3 Add the cadastral unit number of the sharing plot title sheet (the flat title sheet) to the casenotes with a note of the quantum of the share.
- For example "Sharing plot ELN78540 - 1/30 share"
- Once more than one share is registered, this can take the form of a list.
11.33.4 Update the quantum of the share remaining in the ownership of the owner(s) of the parent title to reduce it by that share now being registered in the current AS application.
11.34 Do your final checks.
- Ensure the print scale corresponding to the OS base map scale has been selected before closing & authorising.
- If essential title detail is not visible when the print scale is set to the corresponding OS base scale, consideration may be given to setting the print scale to a larger scale. A title note should be added to the LRS recording the decision.
- Do an at a glance shape check.
11.35 Close and authorise the shared plot cadastral unit on the DMS.
11.36 View the cadastral unit on the DMS and print off a plan showing the full extent of the shared plot cadastral unit for the legal settler.
- although title plans are no longer created and issued by RoS for cases received under the 2012 Act (instead they are replaced by an extract or plan copy of part of the cadastral map), you should use the Title Plan setting on the DMS to print out the cadastral unit for the legal settler.
