Add information to LRS for the sharing plot cadastral unit


5.1 Open the TP for the flat (the sharing plot) on the LRS.

5.1.1 Open property section workdesk


5.2 Complete the property section header information.

5.2.1 Select from the picklist to add the type of real right being registered to the Real Right field.

5.2.2 Add the hectarage of the tenement steading cadastral unit to the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.

5.2.3 If the the flat forms part of a tenement steading cadastral unit that has a different number to the title sheet number for the flat, amend the entry in the Cadastral Unit field to show the tenement steading cadastral unit number.


Do not enter anything in the Map Ref field in the property section workdesk.


5.3 Complete the property description in the property section.

5.3.1 The prefix should always contain the word "Subjects" and the number of the cadastral unit.

5.3.2 Check that the address details are correct, and amend if necessary:

    • Whenever possible, the address should be linked to a gazetteer entry.

5.3.3 Add the prefix and suffix information to the property description:

    • Whenever possible, use the picklist entries available to ensure consistency
    • The hectarage of the plot, if it is 0.5 hectares or greater than 0.5 hectares, is to be rounded up or down to two decimal places.

5.4 Add any property section notes that are required.

5.4.1 Add a property section note if the cadastral unit is affected by a railway boundary.


5.5 Close property section workdesk and open title workdesk.

 Title notes & plan notes

There are two types of note that can be added in the title workdesk - title notes and plan notes. In almost all instances, the notes from plans to legal should be entered as title notes. The reason for this is that a plan note will automatically be copied through and added to the DMS casenotes. Using a plan note when it is not necessary leads to cluttered DMS casenotes that contain information that is not required for interpreting the cadastral map


5.5.1 Add all necessary title notes - see Further Guidance on Completing the LRS Title Notes.

    • Use templates if they are available,
    • complete all relevant fields in a template,
    • for any fields that do not affect the plot being registered, either delete that field or add NIL.

5.5.2 Complete the TP Plans Remarks to Legal template.

5.5.3 Add the appropriate Tenement Steading free text note.

5.5.4 Add a Shared Plot note.

5.5.5 Complete the Parent Title Schedule template asking the legal settler to add the details of the flat to the schedule of removals in the parent title tenement steading title sheet.

5.5.6 Complete the Deed Plan References template if any plans references have been added to the tenement steading cadastral unit on the cadastral map.

5.5.7 Complete the Deed Plan References template for any plans references that have been shown as supplementary data to the title sheet.

    • Use a separate title note for each deed that has supplied plans references.

5.5.8 If the decision was taken at step 3.8 to omit a right to a common area lying outwith the tenement steading as it is not fully defined, add a title note to advise the legal settler of this.

    • GIve details of the deed in which the right is contained.
    • Give details of the right (e.g. right in common to the development common ground)
    • Ask the legal settler to complete the relevant letter to be sent to the applicant when the application is completed.

5.5.9 If a right, burden or servitude cannot be mapped but is to be included in the title sheet (see Plans References for Rights, Burdens and Servitudes), add a note to advise the legal settler of this.

5.5.10 Add any other relevant information to the title notes.


5.6 View the property section of the parent title on the LRS.

5.6.1 Check the property description of the parent title includes the cadastral unit number.

5.6.2 Check that the address details are correct.

    • Whenever possible, the address should be linked to a gazetteer entry.

5.6.3 Check the Real Right field in the property section header information correctly shows the type of real right being registered.

5.6.4 If any amendments or corrections are required to the property section of the parent title, add a title note to the TP application on the LRS giving the legal settler instructions on what changes are required.


5.7 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.
