It has come to light that the functionality on the DMS for Multiple Images has not always been used in the manner it was set up for as a result problems are being incurred.

This information paper sets out to clarify its use and what steps should be taken when encountering images scanned in using this functionality incorrectly.

Firstly a definition of multiple images in respect of the DMS.

A multiple image is a plan that prior to scanning is larger than A4. Therefore when scanned will be in more that one part and when printed will require to be cut and backed to make up one Supplementary Plan

Multiple images does NOT mean where there is more than one plan that when attached to a Title they will be numbered as separate Supplementary Plans, when this is the case each plan must be scanned in separately.

Any images now received by Mapbase Maintenance will automatically be scanned in the correct manner.

To rectify existing images that have been scanned in incorrectly.

When a user encounters a multiple image that should have been scanned in as separate images the following steps MUST be take to correct the images and titles.

  1. Print off a copy of all the images, without any stamps. Where the quality of the prints is poor and the Title is back converted consideration should be given to requesting the originals from storage by completing a Back Conversion Error Report Form.
  2. Send prints to Mapbase Maintenance along with a completed Form P2 to have the plans rescanned separately. (Please note if requesting Back Converted Plans the P2 can be attached to the Back Conversion Error Report Form.)
  3. On return edit the images by adding the appropriate stamps etc
  4. Identify all Titles that are linked to the incorrect multiple image, it may be that you will have to request this information through the IT Helpdesk, if it is not apparent from the DMS Index Layer.
  5. Complete a MU request, Form P110, requesting that: -
    • the incorrect multiple image is unassigned from the Titles involved - quoting all relevant Title numbers.
    • the new images be reassigned - quoting the appropriate image numbers.
    • when all titles have been completed that the incorrect multiple image is deleted from the system.
  6. Complete your application accordingly.
