Additional Information

1.1 Backing Up

1.1.1 Judgments are backed up in exactly the same way as the Books of Council and Session deeds.

1.1.2 There is no need to stamp for EXECUTION on them as they are always for execution and almost always there is only one extract required.


1.2 Accessing Data Entry Screen

1.2.1 Click on Cajr Menu desktop icon. Enter User Id and Password.

1.2.2 Select 'ROJ'.

1.2.3 Select 'Data Entry' icon (located far top left hand side of screen).

1.3 Entering Deeds

1.3.1 Enter defenders details (click on the cross to enter each separate party). The parties details must be taken from the body of the deed.

1.3.2 Enter pursuers details in the field provided; you will need to use upper and lower case to enter these details. If there is a trading name enter it on the same line as the pursuers name with "T/A" before the trading name.

1.3.3 Enter FAS number and agents reference (see below). There is normally only one extract requested but if there is more asked for, enter the amount in the number of extracts field.

1.3.4 Judgments are always for execution.

1.3.5 Once the details have been entered, you will be given an individual yearly running number for each deed. Write this number onto the top centre of the backing sheet and onto the agent's letter.

1.4 8888 FAS number

1.4.1 If there is an 8888 FAS number, type this into the FAS number box, then press the TAB key on the keyboard; a box will appear for you to enter the return address into.


1.5 End of day

1.5.1 Click on the clock-face icon, and select 'OK'.

1.5.2 The Daily Statistics screen will appear, select 'OK'.

1.5.3 The message 'There are no Judgments to backfill' will appear. Select 'OK'.

1.5.4 A 'General Protection Fault' message will appear. Select 'OK'.

1.5.5 A second 'General Protection Fault' message will appear. Select 'OK'.

1.5.6 The screen will close down at this point, but the End of Day print outs will be generated from the printer.

1.6 Cheques

1.6.1 If there is a correct cheque with the deed write the running number on the back of the cheque and place the cheque in the plastic wallet on your desk. Stamp the GREEN F.W.A. over the F.W.A pencil note on the backing and the letter of the deed.

1.6.2 If there is an incorrect cheque with the deed, print off a cheque return letter on headed paper, fill it in and return the cheque and letter to the agent. Put a tick in red pen through the "please return cheque" note on the letter. This will show that the cheque has been returned to the agent.
