S3.2.2 Places Coding

Places items which are to be shown in the Minute Index are coded using the letters ?q?n and ?z.

Street Numbers

In order to assist searching the places index on CSR, street numbers will be included within the coding, e.g.:

?q153?nLONDON ROAD?z, EDINBURGH
?q20/4?nHUTCHESON LOAN?z, PERTH 
?q205A?nDUNDONALD WAY?z, KINROSS

The street numbers will not however appear in the Minute Book index.

Farm and Lands of

Where you have “farm and lands of …..”, “lands and estate of ….” or “Burgh of ….” you should code the place name only, e.g.:

Farm and lands of ?q?nSMITHFIELD?z
Lands and estate of ?q?nMEADOWVALE?z
Burgh of ?q?nROTHESAY?z

Two Sets of Subjects

 If your deed contains more than one set of subjects, each with its own reference description, with different street numbers but the same street name, minute as:

“(I) house ?q1?nLIBERTON BRAE?z, EDINBURGH,
referred to in …………. and (II) house ?q3?nLIBERTON BRAE?z, EDINBURGH, referred to in ………….

However, if the deed contains only one reference, one street name and more than one street number, minute as:

“houses ?q6 and 8?nGREEN LOAN?z, GULLANE”
“ground floor flat of tenement ?q1 to 15?nLONDON ROAD?z, EDINBURGH.

House Names

It is not sufficient to code only a house name. You would also have to code qualifying information which would ideally be a street name, that failing, a town name, e.g.:

?q?nROSEBANK?z, ?q17?nDUDDINGSTON VIEW?z, EDINBURGH
?q?nHILLVIEW?z, ?q?nBLEBO CRAIGS?z

The word “the” is not coded.

Main Street / High Street

When coding either MAIN STREET OR HIGH STREET (including North, South, East or West Main/High Street) it is not sufficient to code the street name alone as there are so many streets with those names. In this case we include the town name within the codes.

If there is an area within the town, we would include it within the coding rather than the town names as it is giving more specific information. The town name would still be shown in the Minute, e.g.:

?q5?nHIGH STREET, BUCKIE?z
?q151?nMAIN STREET, PORTOBELLO?z, EDINBURGH
?q2/4?nNORTH HIGH STREET, AYR?z
?q42/7?nEAST MAIN STREET, BRIGHTONS?z, FALKIRK

Lochs &c.

Entries which involve Lochs and Rivers should be coded as straight line entries, e.g.:

?q?nLOCH NESS?z 
?q?nRIVER ALMOND?z
?q?nWATER OF LEITH?z

Parish of

Entries in which a Parish name forms the link should be coded as follows:

Parish of ?q?nCUPAR?z

ipm's

When drafting a Standard Security which immediately follows a Disposition of the same subjects (providing the description of the subjects are the same), you can use the phrase “over the subjects in the immediately preceding Minute” instead of writing the subjects out. We still need to show in the places index what property is being dealt with in this Minute, so as there are no subjects as such, we put code letters ?u and ?z around the second “the” in the phrase.

e.g. the subjects in the ?uthe?z immediately preceding Minute.

This instructs the computer to go to the previous Minute and identify the place item(s) coded there. It will then make an entry in the index for your Minute using that information. The same principle applies when using the phrase “over the subjects in the two immediately preceding Minutes”. This time the ?u and ?z go around the word “two”.

Proper name only coded

Generally, names of places will be indexed as they appear in the Minute.
For example: FIRTH OF FORTH, SOUND OF ISLAY, UPPER HADDO
However, locations such as:

Blackhill ofGlebe ofMiddleton ofPark of
Bay of Harbour of Mill ofPier of
Bog(s) of Haugh ofMilltown ofQuay of
Brae(s) of Hill ofMoor ofSchool of
Castle of Kirkton of  Moss ofShore of

are indexed under the proper name only, for example: "Township of Knapdale" is indexed as "Knapdale". Previous entries may have been indexed as "Township of Knapdale" but this practice should not be continued.

Second class boundaries are coded as:
?qROAD FROM ?nDUMBARTON TO GLASGOW?z
