Flag a Document as Incorrect in the Land Register Archive

The Keeper holds an archive of registration documents as part of her statutory duty. To ensure that the integrity of the archive is maintained, there is a strict policy in place when we need to remove documents from the archive.

For times when the document is no longer relevant or colleagues have uploaded documents in error, a ‘flag as incorrect’ option is available.

Common reasons to mark a document as incorrect are:

  • Uploaded in error
  • Assigned to the wrong application
  • Assigned to the wrong archive record
  • Contains sensitive information
  • Is a duplicate version
  • Needs replaced with a newer version

Flag a document as incorrect

By clicking on the ‘Actions’ link against a document, it reveals an option to flag it as incorrect.

The ‘Flag as incorrect’ link allows you to mark an individual document as incorrect.

You will then be asked to select a reason for flagging the document as incorrect. If more than one reason applies, choose the most appropriate which reflects the situation.

Click to ‘Save and continue’. You can also choose to cancel the action using the ‘Cancel’ link.

You will be presented with a message asking you if you are sure you want to flag the document as incorrect.

If you are happy to proceed click to ‘Save and return’. This will flag your chosen document as incorrect. You can cancel the action by selecting ‘Cancel’.

The document remains in the archive and can still be viewed. However, it is highlighted to anyone viewing the archive that the document should not be considered when investigating.

The document appears in a new table at the bottom of the page. It displays the reason why the document was flagged as incorrect.

By flagging a document as incorrect does not remove or replace the document. It only highlights to the next person viewing the archive.

You may want to replace the document with a new version or save it to a different archive location. To do this, use the upload a document links on the homepage.

Changing the incorrect reason for a document

You can change the reason why a document was flagged as incorrect.

By clicking on the ‘Actions’ link for your document, it will reveal some options. Select ‘Change reason’.

You can then select a new reason why the document is incorrect. Click ‘Save and return’ to save your changes.

Removing the incorrect flag for a document

The incorrect flag can be removed at any time.

By clicking on the ‘Actions’ link for your document, it will reveal some options. Select ‘Undo flagging’.

A message will appear asking if you are sure you want to remove the incorrect flag. Click ‘Save and return’ to remove the incorrect flag.

The document will no longer display as incorrect.
