Update DMS

 FS/TS Application

1.1 Open the shared plot application on DMS and unauthorise.

1.2 Clear the extent on the DMS.

1.3 Open the DMS case notes and change the tenure to CL and add a note to state the application was created in error/application being rejected, as applicable.

1.4 Update the DMS case notes for the sharing plot applications/titles.

1.5 Close and authorise.

1.6 Repeat for any other FS/TS applications.

 AS Application

1.1 Open the latest shared plot application on DMS and unauthorise.

1.2 Open the DMS case notes and update the details.

1.3 Open the sharing plot application on DMS and unauthorise.

1.4 Update the DMS case notes for the sharing plot application/title.

1.5 Close and authorise.

1.6 Repeat for any other AS applications.

Remove shared plot relationship on LRS

2.1 Open the lead sharing plot application on LRS to which the shared plot application is linked.

2.2 In the title workdesk open the 'Relationships' tab and select the appropriate shared plot relationship and click on 'Cancel App' to unlink the shared plot application from the lead sharing plot application.

2.2.1 If the lead sharing plot application is a TP or TA and the PT application (DW or TU) was also linked to the TP or TA on LRS repeat the above step and in the PT application select the specific relationship and 'Cancel App' to unlink the shared plot application from the PT application. The PT application can now be cancelled on LRS, or if the PT application is still required the relationship can be imported back into the application from the latest title version (registered or draft).

 Import Relationship(s)

In the title workdesk select 'Import'

Then tick the 'Relationships From other version/s' and ok.

You will then be prompted to select the relationship from a list of versions and you should select the latest version which will either be the registered version, if there are no other pending applications, or the latest draft version, if there are pending applications.

2.2.2 The shared plot application (FS/TS/AS) is no longer linked to the sharing plot application or, if applicable, the PT application (see exception relating to PT application below).

 TP & PT application part of linked set with more than one shared plot application

If the PT application is part of a linked set with more than one shared plot application then on completion of the 'Cancel App' function the PT application will remain part of the linked set. However the specific shared plot relationship will still be removed from the the PT application. To proceed the relationship must be imported back into the application from the latest title version (registered or draft).

Example

TP1 + AS1/SP1 + AS2/SP2 + AS3/SP3 + TU/PT are a linked set

In TP1 the relationship with SP1 is selected and 'Cancel App' is used. The relationship with SP1 is removed from TP1, but AS1 still forms part of the linked set because it is still linked to TU/PT.

In TU/PT relationship with SP1 is selected and 'Cancel App' is used. The relationship with SP1 is removed from the TU/PT and AS1 is now unlinked and can be cancelled on LRS. However TU/PT still forms part of the linked set as follows because it is still linked to the other applications:

TP1 + AS2/SP2 + AS3/SP3 + TU/PT

The relationship with SP1 must then be imported back into the TU/PT application to be able to proceed. 

2.3 Add application workdesk N&I instructions to the cancellation officer, unless these have already been added by the legal settler.

2.3.1 Where the application being cancelled is an FS or TS instruct the cancellation officer to cancel the title and the application on LRS.

2.3.2 Where the application being cancelled is an AS instruct the cancellation officer to cancel the application on LRS.

2.4.3 If the shared plot application is being cancelled because the lead application is being rejected add an instruction on the application workdesk for the lead application to instruct the cancellation officer to also cancel the shared plot application, and a further instruction to cancel the PT application, if applicable.

2.4 Release the shared plot application (FS/TS/AS) on LRS to LEGAL CANCEL or PLANS CANCEL.

2.4.1 If the lead application is also being cancelled release the lead application, and, if applicable, the PT application together with the shared plot application back to the legal settler or to LEGAL CANCEL or PLANS CANCEL as appropriate. 

2.5 Pass the shared plot application flysheet to the cancellation officer.

2.5.1 If the lead application is also being cancelled pass applications back to the legal settler or pass the lead application, and, if applicable, the PT application flysheet to the cancellation officer together with the shared plot flysheet.

2.6 If required, a new FSTSAS (Sasine) or AS (Land Register) application can be created as normal or the lead application can be released to LEGAL SETTLE if a shared plot application is not required.
