View, Confirm and Despatch Complete Sharing and Shared Plot Titles

The following processes must all be completed on the same day and in the following order to ensure the notifications are correct.

If your case is on CMS, remember to move it on CMS before confirming any titles.

 (1) View & Confirm Shared Plot Title Sheet

1.1 Check if any other application(s) have been created against the shared plot title since the start of the settle process and request and settle application(s) if it is appropriate to do so.

1.2 Select the application number for the sharing plot on the Case Work Desk

1.2.1 on the Application work desk, open the title workdesk for the shared plot application undergoing registration on LRS.

1.3 Select 'View Version' and check the content and formatting of the title sheet and amend any errors in the appropriate section of the title workdesk, if necessary.

1.3.1 Any amendments to the sharing plot schedule in the proprietorship section must be completed by the plans settler using the relationships tab in the title workdesk before the related sharing plot titles are confirmed.

1.4 Check all the references on the cadastral map for the shared plot cadastral unit are included in the shared plot title sheet or have been referred to in the title sheet for the sharing plot.

1.5 Check all the references in the title sheet are included on the cadastral map.

1.6 Check the securities section is populated with the standard fixed text note below. 

Note: this is a shared plot title sheet. The subjects in this title sheet may be encumbered by securities disclosed on the sharing plot title sheets.

1.7 Check the burdens section is populated with the standard fixed text note below. 

Note:this is a shared plot title sheet. The subjects in this title sheet may be encumbered by encumbrances disclosed on the sharing plot title sheets.

1.8 Close the title sheet view.

1.9 Confirm the title workdesk.

Ensure that at least 10 seconds have elapsed since the master title sheet print generation has been completed before selecting 'ok' to the 'Print generation complete' pop up box, otherwise an error message will prevent completion.

If the application you are settling is on the CMS, skip to Step 1.15

1.10 Print an L202C from the application workdesk.

1.11 Print the Find and View BOPS page.

1.12 Immediately below the wording 'Date of Registration' on the shared plot application flysheet handwrite the date of registration (this should be the same date of registration as the primary plot) and then below this handwrite 'Date Cadastral Unit Divided'. See example attached.

1.13 Complete the Find and View BOPS page with the primary plot application number under which the DIR and other documentation is scanned.

1.14 Complete the L202C and send the L202C, the Find and View page and the shared plot application flysheet to scan.

1.15 Close the application on LRS.

1.16 Repeat the above steps for any other shared plot applications.

1.17 Complete '(2) View & Confirm Parent Title Sharing Plot Title Sheet' (TP or TA cases only) or proceed to '(3) View & Confirm Sharing Plot Title Sheet'.


 (2) View & Confirm Parent Title Sharing Plot Title Sheet (TP or TA cases only)

2.1 Check if any other application(s) have been created against the development/PT title since the start of the settle process and request and settle application(s) if it is appropriate to do so.

2.2 Select and open the title workdesk for the parent title application on LRS.

2.3 Select 'View Version' and check the content and formatting of the title sheet and amend any errors in the appropriate section of the title workdesk, if necessary.

2.3.1 Any amendments to the shared plot schedule in the property section must be completed by the plans settler using the relationships tab in the title workdesk before the shared plot title and any other related sharing plot titles are confirmed.

2.4 Check all the references on the cadastral map for the parent title sharing plot cadastral unit and, if applicable, any references on the cadastral map for the shared plot cadastral unit are included in the title sheet.

2.5 Check all the references in the title sheet are included on the cadastral map for the parent title sharing plot or the cadastral map for the shared plot cadastral unit, as appropriate.

2.5.1 Check there are no references in the title sheet to 'Title Plan' and 'Supplementary Plan'. Amend in the title workdesk if necessary.

2.6 Close the title sheet view.

2.7 Action and delete any redundant next application notes, if necessary.

2.8 Check any application and title workdesk notes and instructions have been actioned and acknowledged.

2.9 Confirm the title workdesk.

Ensure that at least 10 seconds have elapsed since the master title sheet print generation has been completed before selecting 'ok' to the 'Print generation complete' pop up box, otherwise an error message will prevent completion.

2.10 Proceed to '(3) View & Confirm Sharing Plot Title Sheet'.


 (3) View & Confirm Sharing Plot Title Sheet

3.1 Check if any other application(s) have been created against the sharing plot title since the start of the settle process and request and settle application(s) if it is appropriate to do so.

3.2 Select and open the title workdesk for the sharing plot application on LRS.

3.3 Select 'View Version' and check the content and formatting of the title sheet and amend any errors in the appropriate section of the title workdesk, if necessary.

3.3.1 Any amendments to the shared plot schedule in the property section must be completed by the plans settler using the relationships tab in the title workdesk before the shared plot title and any other related sharing plot titles are confirmed. 

3.4 Check all the references on the cadastral map for the sharing plot cadastral unit and, if applicable, any references on the cadastral map for the shared plot cadastral unit are included in the title sheet.

3.5 Check all the references in the title sheet are included on the cadastral map for the sharing plot or the cadastral map for the shared plot cadastral unit, as appropriate.

3.5.1 Check there are no references in the title sheet to 'Title Plan' and 'Supplementary Plan'. Amend in the title workdesk if necessary.

3.6 Close the title sheet view.

3.7 Check the Search Sheet field on the title workdesk has been completed (FR or FA cases only).

3.8 Check the Reports field on the title workdesk has been completed, if applicable.

3.9 If the property value is over £3 million, refer for high value casework procedures.

3.10 Check any application and title workdesk notes and instructions have been actioned and acknowledged.

3.11 Confirm the title workdesk.

Ensure that at least 10 seconds have elapsed since the master title sheet print generation has been completed before selecting 'ok' to the 'Print generation complete' pop up box, otherwise an error message will prevent completion.

3.12 If necessary, select and complete the appropriate letter from the application workdesk picklist to accompany the documentation and receipt being returned to the agent to explain why any servitude right(s) and/or any enforcement rights have not been included in the title sheet. A copy of the letter should be added to archive.

3.13 Release the lead sharing plot application to Despatch Complete.

3.13.1 This will also automatically release any linked and attached applications to Despatch Complete.


 (4) Despatch Complete Sharing Plot and Shared Plot Applications on LRS

4.1 Take on and open the lead sharing plot application on LRS using Despatch Complete function.

4.2 Click complete on the LRS.

4.2.1 This will also automatically complete any linked and attached applications.

4.2.2 A receipt will be generated automatically for each registered deed. No receipt will be generated for the shared plot application(s).

4.3 Return receipt(s) and documentation to submitting agent.

4.3.1 A notification is automatically generated over night and sent to the email addresses on the application workdesk together with a link to the sharing plot and the shared plot(s) title sheet and the extract of the cadastral map.

4.3.2 No notifications will be generated for a TU application or where the application workdesk does not contain any email addresses.

4.4 Identify any additional documents to be added to scan, including any relevant deeds or documents that have been incorporated in the title sheet by way of reference to the archive record that need to be added, and complete and print scan instructions.

4.4.1 Copy documentation and send copy documentation and L202C to scan.
