Closing Notes for Burgh Register, Pre SS and A Non Domino Subjects

No search sheet exists for the subjects in an application

1.1 Occasionally, no search sheet will exist for the subjects in an application. This may be because:

  • the subjects may still be in the Burgh Register (an indication of this will be that the reference description for the subjects in the DIR will refer to one of the burgh registers)
  • the last transaction affecting the property may have been prior to the introduction of the search sheets (in the 1870s)
  • the DIR is a disposition a non domino (an indication of this will be that the agent will have answered "Yes" to the question on the application form that asks “Does the application relate to a prescriptive claimant?). A non domino dispositions should be identified at Intake - see Initial Examination - FR Intake.

In each of these situations, a new search sheet should be opened for the subjects.

To create a new search sheet for your subjects

1.2 Select Create CSS Notes from the CSR main menu, using the F5 key.

1.3 Type in county and click on down arrow.

1.4 At CSS number:

  • For Burgh Register subjects, type BR
  • For pre-search sheet subjects, type PRE SS
  • For a non domino subjects, type AND

1.5 Click on down arrow and at "Date", type in the date the FR application was created on LRS (from application flysheet). The date should be input in the following format: DDMMYY

1.6 Click on down arrow and at "Text", complete details of the closing note for your application, using the appropriate style - see Styles of Closing Note.

1.7 Press Enter to confirm. The system will allocate the next free search sheet number. Take a note of this number.

1.8 Check the details of your closing note on the allocated search sheet. When on the search sheet, check that the "From information" box contains the correct information. This will be either, "from Burgh Register", "pre-SS", or "A non domino", as appropriate.

1.9 Add the search sheet number in pencil to the "Search Sheet Number(s), if known" field on the application form.
