Introduction
The following are example styles for closing notes covering most frequently encountered scenarios. Guidance on styles of note to be used for assignations of leasehold interests and grants of lease are provided in the Leases page under the heading Automatic Plot Registration - Closing Notes. Guidance on styles of note to be used for Voluntary Registrations are provided in Voluntary Registration - Closing Notes. In more complex scenarios, guidance should be sought from your referral officer.

General
Grantees
- If there is more than one grantee in the deed, only the first grantee should be named; any other party/parties should be covered with "and anr/and others":
DISP ifo Laura MacDonald and anr ...
- All middle names should be included:
DISP ifo John Paul Smith ....
- If the grantees in the deed are trustees of a person, firm etc - eg John Smith and Fred Smith as Trustees for the Firm of Smith Partnership Ltd, the names of the trustees should not be included:
DISP ifo Trustees for the Firm of Smith Partnership Limited ...
- Initials should be capitalised, with no spaces between initials:

Property description
- If the deed contains a postal address for the subjects, this should be included up to the town:

- If the deed does not contain a postal address, the best information in the deed should be included. This should be kept as concise as possible:
... of area of ground, bounded by Smith Avenue, Roslin - TO ...
... of 0.098 acre, at Avonvalley - TO ...
- For tenements, the flat number should be included, if narrated in the deed:
... of Flat 3, 21 London Road, Edinburgh - TO ...
- If the flat number is not narrated in the deed, the location of the flat, house number, street and town should be included:
