Raising an Invoice on eFinancials

Additional Information

1.1 Open eFinancials.

1.2 Sign in using your username and password.

1.3 Pick 'Single Process Invoice', then 'Single IW Invoice Entry'.

1.4 Enter:

1.4.1 FAS number: agent's FAS number.

1.4.2 Ord Ref: your name.

1.4.3 Pay method: credit (unless cash over the counter).

1.4.4 Subject: register and number and type of deed (e.g.: C&S 16/1234 Will or ROI 16/123456 Sch. Inhib.).

1.4.5 Agent Ref.: as stated by agent.

1.4.6 Grantee: name of grantee of deed / debtor in case of ROI.

1.5 Click on Details; this will take you to a new screen.

1.6 Choose the appropriate field and enter the number of deeds being registered.

1.7 Please note the Books of Council and Session has 2 fields: one for registration of the initial extract (‘CAJRBCS’) and one for any additional extracts that incur VAT (‘CAJRBCSEXT’).

1.8 Select Apply and OK, then check the Entering field (above). This should reflect the number of extracts requested and the correct amount of VAT incurred; select Authorise and Complete. At this point, the invoice number will appear in the Invoice No. field. Take a note of this, in case anything should go wrong with the transaction.

1.9 The invoice should print to the designated printer (at present CAJR5 on em-vwp-prta01). Note: only one copy of the invoice will be printed, so photocopy the invoice and place the copy in the FWA folder, in the safe. If applicable, the original should now be married up with any extract copies.



1.10 Enter invoice details into the CAJR cashbook which is located in the CAJR Fileshare, then put invoice and extract copies into an envelope and place on appropriate shelf on mail trolley.
