1 Once it has been established that an original deed needs to be returned to CAJR, then an email is sent to Retransmissions@nrscotland.gov.uk

  • The following information is required in the email - the minute number including the year and the parties so that the Records office can check they are sending the correct deed.


2 Once the deed has been ordered then the spread sheet recording the request need to be filled out.

  • The spreadsheet is located in the CAJR Fileshare - O:\Registration\Public\CAJR\Transmission.




3 The deed will be sent by the Records office to be picked up by the Customer Services Revenue Runner. It will then be handed to Customer Services reception who will inform you it is awaiting collection.

3.1 The deed will be sent in a green folder along with a Records receipt.

3.2 The details need to be checked to make sure they relate to the deed ordered and received, and then this form is signed by the recipient. It is then scanned and sent back to Retransmissions.

3.3 Write on the receipt that it has been emailed to the Records office and retain in the folder to go back with the deed.


4 Once in receipt of the deed, the Retransmissions spread sheet needs to be filled in with the appropriate information

  • The spreadsheet is located in the CAJR Fileshare - O:\Registration\Public\CAJR\Transmission.



5 When the deed is not being worked on, it needs to be kept at all times in the overnight safe.



6 Once the deed is ready to be returned to the Records office, the spreadsheet needs to be updated to show that the deed is ready for transmission back to the National Records office.

  • The spreadsheet is located in the CAJR Fileshare - O:\Registration\Public\CAJR\Transmission.

6.1 A post-it note can also be added to the folder to show that the deed is ready for return to the Records office.

6.2 The odd-jobs person should be informed that the deed can go in the next transmission.
