Section 8: Generate Extracts

This page will detail the process of generating extracts on the RoD system.

  1. From the RoD registration homepage, under “Extract generation”, click “Generate extracts

  1. On the following screen, enter the date on which the extracts were registered, then click “Generate”

    1. Please note that:

    2. this date can only be up to 90 days in the past and

    3. cannot be a date before this functionality went became live, 26/02/2025

  1. Generate Automated Extracts

  2. On this screen, you will see a table with all the deeds registered on the date

  3. Click “Download all extracts” to download all the extracts combined into one single PDF file.

  4. Please note that the combined single PDF file will contain the following for each extract:

    1. Covering letter

    2. Flysheet

    3. Deed

    4. Any additional copies of the extract, as requested by the customer and specified during the registration journey.

  5. Alternatively, you can download individual extracts by clicking “Download” on the row with the minute number you need.

  6. To change the date from which you are viewing the extracts, click “Change Date” and enter a new date.

  1. If a registration was amended after the combined single PDF was created, the line will be highlighted in yellow. The combined single PDF will not contain this amendment and must be downloaded and printed separately.

    1. This might occur if someone realises that they put the docquet on the wrong page the day after they registered the case, and go back to make the correction. At this point the combined PDF has already been created, but an amendment will still correct the individual PDF for the minute number.

Printing extracts

  1. Open the PDF and press “Ctrl + P” to open the print dialogue. Click ”Print” to print out the extracts. Once printed, the extracts are ready to be assembled, bound and posted out.

    1. Please make sure double-sided printing is enabled. Blank pages will be automatically inserted by the Webapp to ensure that scenarios where the final page of one extract and the first page of the following extract cannot be printed on the same piece of paper.

    2. Please note that you are still required to sign the docquet once the extract has been assembled.
