5.1 If the instructions at step 2.18 were to convert the existing parent title into a tenement steading cadastral unit, proceed to step 5.3.

5.2 If the instructions at step 2.18 were to create a new tenement steading cadastral unit, proceed to step 5.10.




Add LRS information - Convert an existing parent title into a tenement steading cadastral unit


5.3 Open the DW/TU application for the parent title on the LRS.

5.3.1 Open property section workdesk.


5.4 Check the property section header information, and update if necessary.

5.4.1 Check the Real Right field has been updated.

5.4.2 Check the hectarage of the tenement steading cadastral unit has been correctly entered in the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.

5.5 Check the property description in the property section, and update if necessary.

5.5.1 Check that the address details are correct, and amend if necessary:

    • Whenever possible, the address should be linked to a gazetteer entry.

5.5.2 Check the prefix and suffix information to the property description:

    • The prefix should always contain the word "Subjects" and the number of the cadastral unit.
    • Whenever possible, use the picklist entries available to ensure consistency.
    • The hectarage of the plot, if it is 0.5 hectares or greater than 0.5 hectares, is to be rounded up or down to two decimal places.

5.6 Add any property section notes that are required.


5.7 Close property section workdesk and open title workdesk.

 Title notes & plan notes

There are two types of note that can be added in the title workdesk - title notes and plan notes. In almost all instances, the notes from plans to legal should be entered as title notes. The reason for this is that a plan note will automatically be copied through and added to the DMS casenotes. Using a plan note when it is not necessary leads to cluttered DMS casenotes that contain information that is not required for interpreting the cadastral map


5.7.1 Add all necessary title notes - see Further Guidance on Completing the LRS Title Notes.

5.7.2 If necessary, complete the Parent Title Schedule template giving legal the title numbers and addresses of any previous 1979 Act TPs that will need to be listed in a new schedule of removals or schedule of feus in the tenement steading title sheet.

    • In addition, please provide the legal settler with the schedule entry number that was previously given to each of the 1970 Act TPs in the original parent title sheet. This information will be required by the legal settler to update the original parent title sheet.

5.7.3 Add any other relevant information to the title notes.

    • Add a title note to tell the legal settler if any change has been made to an existing plans reference for a burden, etc in the parent title.
    • Add a title note giving details of the tenement steading cadastral unit that has been set up - Tenement Steading note.
    • Add a title note to tell the legal settler of any other change that has been made to the mapping of the parent title that will have an effect on the title sheet.


5.8 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.

5.10 Open the new TP for the tenement steading cadastral unit on the LRS.

5.10.1 Open property section workdesk.


5.11 Complete the property section header information - the details in the property section of the original development parent title may be of use to you.

5.11.1 Select from the picklist to add the type of real right being registered to the Real Right field.

5.11.2 Add the hectarage of the tenement steading cadastral unit to the Hectarage field if it is 0.5 hectares or greater than 0.5 hectares, rounding the number up or down to one decimal place.


Do not enter anything in the Map Ref field in the property section workdesk.


5.12 Complete the property description in the property section.

5.12.1 Check that the address details are correct, and amend if necessary:

    • Whenever possible, the address should be linked to a gazetteer entry.

5.12.2 Add the prefix and suffix information to the property description:

    • The prefix should always contain the word "Subjects" and the number of the cadastral unit.
    • Whenever possible, use the picklist entries available to ensure consistency.

5.14 Close property section workdesk and open title workdesk.

5.14.1 Add all necessary title notes - see Further Guidance on Completing the LRS Title Notes.

    • Use templates if they are available,
    • complete all relevant fields in a template,
    • for any fields that do not affect the plot being registered, either delete that field or add NIL.

5.14.2 Complete the TP Plans Remarks to Legal template.

5.14.3 If the removal has been mapped using the green-out style, ensure you complete a Parent Title Green Outs Note.

5.14.4 If necessary, complete the Parent Title Schedule template giving legal the title numbers and addresses of any previous 1979 Act TPs that will need to be listed in a new schedule of removals or schedule of feus in the tenement steading title sheet.

    • In addition, please provide the legal settler with the schedule entry number that was previously given to each of the 1970 Act TPs in the original parent title sheet. This information will be required by the legal settler to update the original parent title sheet.

5.14.5 Add any other relevant information to the title notes.

    • Add a title note to tell the legal settler if any changes are needed to the numbering or the entries in an existing schedule of removals or schedule of feus in the title sheet for the parent title.
    • Add a title note to tell the legal settler if the hectarage of the parent title needs to be amended.
    • Add a title note to tell the legal settler if an existing plans reference for a burden, etc in the parent title has been wholly removed from the parent title cadastral unit and now only affects the tenement steading cadastral unit.


5.15 View the property section of the parent title on the LRS.

5.15.1 Check the property description of the parent title includes the cadastral unit number.

5.15.2 If the property description does not include the cadastral unit number, add a title note to the TP application on the LRS giving the legal settler instructions on what changes are required to the property description of the parent title to convert it to the style used in 2012 Act application.

5.15.3 If a positive mapping style of removal has been used, when applicable add a title note to the TP application on the LRS giving the legal setter instructions on what changes are required to the hectarage shown in the property section of the parent title.  The hectarage should be included if the parent title measures 0.5 hectares or greater than 0.5 hectares -

  • rounding the number up or down to one decimal place for use in the property section header information, and 
  • rounding the number up or down to two decimal places for use in the property description suffix.

5.16 Use the Apply button to save the changes made, Close the title workdesk, and Close the application workdesk.
