Process Steps


Complete the following steps if the date of creation of the case is from the previous day (or older) or if you have been notified by a Team Leader that work can be completed. 


13.1 Open the CMS case from your My Assignments page to view the details.

13.2 If your case was taken for QA and there are amendments that QA want you to make before you complete the case then it will be at "Register Rectification" status.

13.2.1 On LRS, refer the application back to Legal Settle, unconfirm and make all of the amendments as requested by QA.

13.2.2 Confirm the application and release to Despatch Complete.

13.2.3 On the CMS Register Rectification screen, for each QA point state that you have made the amendments by clicking Yes or if you haven't made the amendment click No and then use the textbox to state why you haven't.

13.2.3.1 Any notes in these textboxes will be emailed to QA so that they can collate the feedback.

13.2.4 Once you have answered all the points click Submit and the case will move on to the "Confirm case for LR Archive" screen.

13.2.5 If the case is taken for QA but is not checked before the service standard cut-off point then it will automatically be transferred to your My Assignments and will be at the "Confirm case for LR Archive" screen.

13.2.5.1 A case collaboration note will be added to notify you of this.

13.3 If your case was not selected for QA, or if there are no amendments required by QA, then the case on CMS will be at "Confirm case for LR Archive" status.

13.4 Check for any new Case Associations that may have been made since you settled the case.

13.4.1 If there is a new Case associated then check that the deeds are valid and settle appropriately.

13.4.1.1 To do this, refer your LRS application back to Intake Settle and unconfirm.

13.4.1.2 Then take on both applications at Intake Settle and attach.

13.4.1.3 If the deeds are not valid follow the Rejection referral process.

13.4.1.4 If the deeds are valid, make the required changes on the title sheet as per the deeds from the second case.

13.4.1.5 Confirm the application and release to Despatch Complete.

13.5 On the LRS, take on the application at Despatch Complete.

13.6 Click Complete.

13.6.1 The LRS application will now be RG status.

13.7 On the CMS, confirm the case for LR Archive by categorising the Supporting Documents.

13.7.1 Click Manage Documents to update the details of the Supporting Documents.

13.7.2 For each Supporting Document, click Edit.

13.7.2.1 Choose the appropriate Type and Subtype and add a significant date or additional information if necessary.

13.7.2.2 Tick the Archive box where applicable.

13.7.2.2.2 Some Types/Subtypes will be mandatory to archive, in which case there will be a Yes in the archive column.

13.7.2.2.3 Some Types/Subtypes cannot be archived for data protection reasons, in which case there will be a No in the archive column.

13.7.2.2.4 Some Types/Subtypes will require you to choose whether it should be archived and a tick box will show in the archive column.

13.7.2.3 Click Submit to confirm the changes

13.7.2.4 Click Refresh on the Confirm for LR Archive screen to see the changes that you have made.

13.7.3 If you have any other documents e.g. ROI hits to add to the supporting documents then save these as electronic documents and click the Add Documents link to include them in your case.

Warning

For the moment, you can only edit a maximum of 3 Supporting documents at a time. If you need to edit more documents, you will need to save the changes and then re-open the Manage Documents screen.

13.8 Click the box beside "I confirm the above".

13.9 Click Submit.

13.9.1 If you have not completed the LRS application before you click Submit, the CMS will show a warning. Go back and complete the LRS application and then click Submit again to move on.

13.9.2 This will show the "Action Completed" screen with the details of the resolved case.

13.10 If there is an associated case and you have settled the LRS Applications together then also open this case on CMS and ensure that those supporting documents are also appropriately categorised and selected for archiving and then ensure it is also completed.

13.10.1 Ensure that the supporting documents in this associated case are appropriately categorised and selected for archiving and then click Submit to complete the case.

13.10.2 If the associated case is a DDS type then there is nothing more that needs to be done on CMS.

13.11 Open the next case to be completed/resolved or alternatively click Next Assignment to take on the next case.
