Importing Pre-formatted A Section Schedules
This import functionality was introduced to LRS to facilitate Applications relating to Local Authority and Housing Associations housing stock transfers being submitted, the teams dealing with these applications required to input huge amounts of property section schedule entries per title. An alternative to having users manually key in the data was developed.
The format required for these schedules to allow importing is text (tab delimited)(*.txt) with standard agreed headers. Other similar formats can be readily converted and headers corrected using Excel. The import function loads the data from a selected file into a columns list display where it can be inspected and selected for import.
There was also a requirement when creating schedules of removals in these large Local Authority/Housing Association titles to not use the standard header "No. in green on the Title Plan" but instead to specify the colour etc. within the schedule item. To support this a new schedule type was created with the plan number column size increased. From the picklist it appears as "V = Schedule of Removals for Mixed Fees". The plan number column was also added to the schedule of exceptions.
File headers
The following headers should appear in the file irrespective of the Schedule type all columns must be present (See File Examples):
- SHORT_PARTC_TYPE

- PLAN_NO
- PLOT_NO
- SUBJECTS
- TENANT_FEUAR
- REG_DATE (it is important that the date format selected is in the style dd/mm/yyyy. Failure to use this format in lengthy schedules will result in the LRS effectively crashing as it tries to convert the format).

To import a schedule
Select a schedule type from the drop down picklist.
Click on "Import (File)".
Locate the folder containing the required file and select "Open".
- Please note, as mentioned above, this file should have been saved as a text (tab delimited) (.txt) file.
This will bring forward the following screen where you can select your desired entries. A "Select All" button has been provided to help with multiple selecting where hundreds of entries are available.
Click on "Import" and your selections will appear in the "Title A Section schedule entries" screen.
If the following error message appears when attempting to import a file, you should open the file in Excel and amend the incorrect file header.
