Intake officer


1.1 Identify deed for joint recording/dual registration.

1.1.1 Joint recording and dual registration applications contain both LR application forms and a sasine application form (SAF). 


1.2 Complete the initial examination intake process steps for the application type as normal. 

1.3 Examine the SAF: ensure the form is signed and dated and states the correct deed type and county. 

1.4 Pass documentation to intake referral officer - place in dual registration referrals tray and add referral details to the referrals log.

Note that Sasine Application Forms submitted via the Digital Submission Service do not require to be signed.

For the avoidance of doubt, any SAFs received as part of applications submitted by means other than the Digital Submission Service (e.g. personal presentments or postal applications) must still be signed.


Intake referral officer


2.1 Confirm the LR and SAF application forms have been signed, dated and completed correctly for the application type. 

2.2 Confirm the ex facie validity of the deed for the application type. 

2.3 Check the subjects have been adequately described in the deed by reference to a valid title number, a full bounding description, and acceptable plan or deed plan approval number. 


2.4 For dual registration applications only check the deed is a constitutive deed. 

2.5 Check closing note on CSR if necessary. 


2.6 For any application with a plans element pass to plans referral officer to confirm if the plan/description within the deed is sufficient to enable the plot and any references to be mapped on date of application and/or that the subjects are co-extensive/part of any title number referred to in the deed and that no part of the plot to be registered competes with an existing registered title. 

If the application fails to conform to the above, follow the appropriate pre-intake rejection process.


2.7 If deed is acceptable for joint recording/dual registration, return any instructions and documentation to intake officer.
