S7.2.7 Intake Procedures

Publication Extracts

If the agent has marked boxes 8 and 9 as ‘no’ on the Sasine Application Form but has requested a number of extracts in box 10 then these would be publication extracts. The deed is recorded as normal and the original deed returned to the Agent but extra copies in the form of Extracts are also provided. For example, in the case of a complicated or important Agreement all parties to the deed might want to have a copy of the recorded document. We do not require prepayment for these. A blue form should be completed with the relevant information required at intake stage and invoice number/ total/ date posted can be left blank for later completion and the form passed to the designated officer for dealing with Extracts. The number of Extracts requested should be stamped on the deed. 

Preservation or Preservation and Execution

If the agent has marked either box 8 or 9 as ‘yes’ on the Sasine Application Form then we require prepayment for this, and for each additional extract they have requested in box 10. A yellow form should be completed with the required information and attached to the deed backing.

Publication/Preservation Extract Forms

A supply of yellow and blue forms has been sent through to the intake staff at the customer service offices in Glasgow and Edinburgh so they should complete these as relevant and attach the form to the deed before they send the true copy through to Sasine Intake. The form should be attached to the deed regardless whether yellow or blue. 

Copy of Plans

These are done by LR Intake, before sending the original deed/SAF/L14A to Sasines.
